How to Organize Your Desk

No matter where you have your desk; be it at home, in your cubicle, or at college, there is a reasonable chance it is cluttered. However, organizing it so it performs its task well doesn’t have to be that much of an arduous challenge.

Not only will it make things look better either; but it will also help you to work better. Whilst there are those out there that perform well surrounded by chaos, it is not an approach that works for the majority.

The very first thing to do is organize yourself. There are some things that you need to keep on your desk of course; the phone, computer and stationary items that are constantly used; make a list of these and where practical, move to somewhere safe whilst you tidy.

The next thing to do is surround yourself with all important supplies. Get at least three boxes in order you can just place things in them easily, and label them accordingly for things to sort through, file and action. It will also be worthwhile getting a shredder and of course a garbage can.

Next, move anything cumbersome like books and folders out of the way. You can sort through these later too. From here, you should be left with clutter and paperwork.

Spend some time going through the paperwork, and sort into piles in the boxes. Any trash can either be placed in the garbage can or shredded as necessary.

This should take you no more than an hour at the most, though will likely take a good deal less. Your desk will already be looking better, and you can organize the space. Photos can be moved away from the work area, you will still be able to see them no matter how far away from you they are.

Trays too should be moved a good distance away, though still within reach of course. Try and work out a workable flow to how your trays are placed, and label them clearly if others are likely to give you work to do in them.

We all have a lot of items on our desk that really shouldn’t be there. Whilst pens, pencils and a notepad are all useful to have to hand, other items would be better stored elsewhere. Those folders and books for example could be housed more appropriately in shelving units, whilst staplers and staples would be better in a desk drawer.

Whilst we mention drawers, it is also necessary to declutter here too. The simplest of glances through your drawers will no doubt uncover a host of things; mystery keys and small change being likely candidates. Throw away anything that really isn’t necessary, and try to have just one ‘overspill’ drawer.

For the other drawers, try and use them for a purpose. Instead of storing files and folders on your desk or shelves, try them here perhaps? Many people forget about their drawers; but they can make a real difference to the effective organization of your workspace.

Spending up to 8 hours a day sitting at our desks is not good for our backs. It’s almost as back breaking as plowing a field! But with the evolution of economics and more people working in an office, poor posture is making us unhealthy. Migraines, headaches, back aches and frequent trips to the chiropractor can all be attributed in part to sitting at an improperly aligned desk and chair.

Ergonomic chairs, which are unusual in both their appearance and use, support healthy alignment of the spine. Users sit in a semi-kneeling position, reducing strain on the back and encouraging better posture. Once ergonomic chairs came along, the engineering of ergonomic desks became important because of another new invention. The PC, with all its different components. Drafting tables, which adjust to different heights and angles to accommodate the various uses, were precedent setting for the design of ergonomic computer desks to accommodate users height and seating position.

Ergonomics really came into play following World War II. With more sedentary workers, the federal government began legislating guidelines for minimum furniture requirements. With desk top computers at every workstation now, ergonomics have played a vital role in designing desks that keep users comfortable. The placement of the keyboard, the position and height of the monitor and other considerations has all been calculated using ergonomic science.

Where ever you use a computer, an ergonomic desk is a key factor in working without consequences to your back and neck. Research has shown that repetitive strain injuries due to computer use and carpal tunnel syndrome in the forearms and wrists can be reduced or avoided with a well adjusted computer desk.

To understand if your computer components are positioned correctly, look at your computer monitor. Your eyes should rest right in the middle of the screen if it’s at the proper height. You should be able to glance over at your documents, which should be held upright on a document holder, then back at the screen without bending your back or twisting your neck. Both items should be equi-distant to each other so you do not have to refocus every time. If you are right handed, your phone should be on your left, and visa versa.

Consider your lighting arrangement on your desk. Make sure a lamp doesn’t shine directly into your eyes. It should shine on your documents and never on your computer monitor. Reduce glare, and make sure your lamp is stable and not swinging back and forth.

If you need items such as heavy binders, place them close to you to avoid repetitive over reaching. If you have a desk that does not adjust, at least install a keyboard tray so that your shoulders can relax.

Check under your desk so that your legs can stretch out in front of you. Keep it clear of items and keep your feet flat on the floor. If your chair is too high and your feet just don’t touch the floor, put something under your feet such as books or a phone directory.
